Why this offer matters now

The AI Retainer is the ongoing support after your first projects — your fixed AI sparring partner on a monthly rhythm. We stay on your topic: sparring on current questions, upkeep of your governance and use-case documentation, classification of new tools and regulatory developments (EU AI Act), plus an implementation and advisory allowance. Three tiers (Basic, Standard, Plus) scale with your needs from around 4 to 16 hours per month; every quarter we deliver a review with status, key figures and recommendations. This way AI keeps moving forward for you, without every question becoming a new project.

Starting point

After strategy, pilot or MVP, many organisations lack continuity: the decisive bottleneck lies in sustained operation and scaling — according to S&P Global (2025), 42 % of companies abandon the majority of their AI initiatives before productive deployment — often at the transition into operations and in staying the course. AI topics keep evolving quickly (new tools, models, regulatory requirements such as the EU AI Act with transparency obligations from 02.08.2026); without ongoing upkeep, governance documentation and use-case registers go stale. Building full in-house AI expertise is expensive and slow for mid-sized companies, but rarely justifies a full-time position. One-off individual assignments also create friction and start-up costs; a fixed framework lowers the hurdle to asking questions early.

Your benefit

  • A fixed, reliable AI sparring partner — reachable on the agreed rhythm, without every question needing a new offer.
  • Governance and use-case documentation kept up to date: a maintained AI inventory, an updated risk/role logic and a living use-case pipeline.
  • Early, classified information on relevant trends, tools and regulatory developments (EU AI Act) — filtered down to what matters for you.
  • Continuous progress through a monthly implementation/advisory allowance for smaller optimisations and support of ongoing implementations.
  • Transparent impact tracking through a quarterly review with status, key figures and prioritised recommendations.

A good fit when …

  • You have completed initial AI projects (strategy, pilot or MVP) and want to keep making continuous progress.
  • You do not want to build full in-house AI expertise but need reliable access to advice.
  • Your governance and use-case documentation should be kept continuously up to date.
  • You want to learn about regulatory developments (EU AI Act) early and in a classified way.

How we work

6 phases, 2 gates — you decide at every transition.

  1. 01

    Onboarding & Tier Selection

We clarify the framework, goals and contacts, select the fitting tier (Basic / Standard / Plus) and set fixed dates for the monthly call and the quarterly review. Existing governance and use-case documentation is reviewed and taken over.

Gate — your approvalOnboarding gate: tier fixed, fixed dates in the calendar, existing material reviewed and a first to-do list created — only then does the monthly rhythm start.
  2. 02

    Stocktaking

We review governance/use-case registers as well as the results from strategy, pilot or MVP and explicitly clarify what is not included in the retainer. This forms the basis for the first months.

  3. 03

    Monthly Rhythm

Every month a sparring call runs with a short record, plus support within the agreed scope, a curated trend/rules update and (from Standard) work from the implementation allowance. Hours tracking is kept transparent.

  4. 04

    Ongoing Upkeep

We keep the AI inventory, risk/role logic and policy building blocks up to date (from Standard) and keep the use-case pipeline alive by capturing, assessing and preparing new ideas for decisions.

  5. 05

    Quarterly Review

Every three months we deliver a review report with status, client-specific key figures, open points and prioritised recommendations, and discuss it in a review session. Impact is presented as an assessment.

Gate — your approvalReview gate: at least one concrete, prioritised recommendation and a clear tier statement; no guaranteed savings.
  6. 06

    Adjustment & Continuation

If needed, we adjust the tier or focus (upgrade in case of sustained over-allowance, open handling of underutilisation) and continue the support. Larger undertakings are scoped as separate projects.

What you receive

  • Monthly sparring call + record

A fixed monthly advisory session with a short record: topics discussed, recommendations, agreed to-dos and responsible owners.

  • Ongoing support

Email/message support for brief questions within the agreed scope, with a defined response time per tier.

  • Trend, tool & rules update

Curated information on relevant developments, classified for your context — with a focus on the EU AI Act/GDPR.

  • Maintained governance register

An updated AI inventory, updated risk/role logic and policy building blocks (from Standard) — technical-organisational orientation, not legal advice.

  • Maintained use-case pipeline

A living use-case register: use cases captured, assessed and prepared for decisions (from Standard).

  • Quarterly review report

A quarterly status report with key figures, progress, risks and prioritised recommendations for the next steps (all tiers).

Base package plus optional modules

The base package stands on its own. Optional modules dock on now or later — you decide how far you go.

Tier upgrade

Moving to a higher tier (Basic → Standard → Plus) increases the monthly hours and service allowance when demand rises permanently. Possible at any time for the following month; the change does not replace a separate project for larger undertakings.

available now

Ad-hoc hours allowance

An additional, clearly limited hours package for months with increased demand, without permanently changing the tier right away. Tracked transparently; only the hours actually used are billed.

available now

Quarterly deep-dive / strategy session

An in-depth working session per quarter on a focus topic (e.g. new regulation, tool strategy, use-case prioritisation) beyond the regular review. Useful to book later once a bigger topic emerges.

Good to know & honest scope

Good to know

Prerequisites

  • Completed prior AI work or ongoing AI activities as a starting point (strategy, pilot, MVP or similar).
  • Naming an internal contact person (AI coordination) as a fixed point of contact for calls, support and upkeep.
  • Access to the relevant documents (governance/use-case registers, context on ongoing topics).

Your involvement

  • Availability for the monthly sparring call and the quarterly review.
  • Timely feedback and clarification of internal responsibilities for recommended to-dos.
  • Early information about undertakings with higher effort, so that allowance and prioritisation can be planned.

Honest scope

  • –Larger implementation projects beyond the monthly allowance — these are agreed in advance as separate projects (e.g. Use-Case Lab, MVP, Pilot Support).
  • –Legal advice or a legally binding data-protection assessment: technical-organisational orientation, not legal advice; referral to a law firm/data protection officer.
  • –Unlimited carry-over of unused hours allowances beyond the agreed limit.

Note: not legal advice. Content with a legal dimension (e.g. EU AI Act, GDPR, ISO/IEC 42001) is professional orientation, not legal counsel.
